Office of Technology Report

The Office of Technology has made many accomplishments over the 2006 – 2007 school year to improve technology for students, staff, faculty, and administration. Provided below is a listing of the major accomplishments that focuses on five different areas: network upgrades, data and web base developments, implementation of servers and applications, new computer purchases and classroom technology installations, print shop, and others. This report does not include the day to day work order requests from campus users for hardware, software, data, and other IT related issues that totaled over 700 (an average of 4.7 work requests completed/working day) at the time of this report (05/2007).

In the area of network upgrades the Office of Technology made the following accomplishments:

• Replace the MDF (Main Distribution Facility). This was originally purchased in 1986. Cost of the replacement was $150,000. This was a two month installation that was completed as students arrived fall 2006.
• Installed hardware so all fiber connections on campus are Gigabit compatible.
• Separated network from one to sixteen VLANs to gain internal speed and cut down traffic congestion for heavy data users.
• Moved campus to 10-dot addresses for all computers, switches, and printers.
• Installed PIX firewall for the all college computing systems.
• Upgraded Packetteer software from 10MB to 45MB to increase bandwidth to buildings.
• Added Meta Info for increased security of all wired and wireless users on campus.
• Replaced one fiber and all ten ethernet switches at Pioneer Village with CISCO devices.
• Installed a new switch to control the wireless Internet at Pickens Hall and Scott Wing.
• Set up broadband wireless for construction of Mollohan Center.
• Installed and programmed new Internet devices including switches, and wireless access points in the Mollohan Center.
• Purchased, programmed, and implemented total wireless coverage system in Clark Hall.
• Wired the Print Shop for LAN capabilities.
• Added wireless capabilities to the Fine Arts Department, Department of Teacher Education, Business Department, and Criminal Justice House.

In the area of data and web-based developments, the Office of Technology made the following accomplishments:

• Instituted online registration which was implemented Spring 2007. The Office of Technology also trained the faculty and staff on the new process of online registration and developed fliers and on-line directions for students.
• Created and developed an Office of Technology online blog to post all IT related issues and accomplishment as well as a photo gallery of the campus.
• Assisted IRC in Glenville State’s webpage design and aided in upgrading the web page.
• Added SSL (Secure Socket Layer) and VeriSign to increase network security for all of campus utilizing the GSC web homepage.
• Created PDF downloadable help files to assist students in using the resources available to them. These files are posted on the Glenville State website for easy accessibility.
• Revitalized the online application process and student interest page for the Office of Admissions to include incoming freshmen, transfers, adults/non-traditional, and high school students.
• Converted all employee forms to writable PDF’s, and then posted forms on the Glenville State website to be more accessible to faculty and staff.
• Interfaced Banner with Blumen for the Student Support Services grant and installed the software on individual SSS computers to use for reporting purposes.
• Installed Judicial Action for the office of Student Life.
• Developed code to prepare multiple data analysis reports at the request of President Barr.
• Created Crystal reports for President Barr and various departments for data analysis.
• Instituted a campus wide Work Order System for the Office of Technology and Physical Plant.

In the area of server applications and implementation of servers, the Office of Technology made the following accomplishments:

• Purchased one dual core 2003 server to handle both the Blumen software purchased for Student Support Services and the Judicial Action software purchased for Student Life.
• Increased I-mail storage for both faculty and staff: faculty and staff were increased from 50MB to 100MB and students were increased from 10MB to 50MB.
• Replaced the outdated web server that was implemented in 2001.
• Replaced the ghost server which provides remote installation push software for all Glenville State systems.
• Installed internal DNS (Domain Name Server) to increase network speed.
• Purchased and installed Crystal II on server to aid in the centralized reporting process.
• Created and instituted new sub-domain name: mail.glenville.edu.
• Conducted a campus wide banner upgrade to version 7.
• Installed Turbo Tax from server for the E. Smith computer lab for the Business Department.
• Installed Peachtree on remote server for FCI Gilmer for business classes.

In the area of new computer purchases and classroom technology installations, the Office of Technology made the following accomplishments:

• Purchased and installed five new laptops with docking stations for Office of Admission with Biometric fingerprint scanners for added security.
• Purchased and installed four new laptops to use in PDS (Professional Development Schools) to aid traveling/observing professors in the department of Teacher Education.
• Purchased and installed six new computers and one color laser printer for the NASA grant.
• Purchased and installed six computers, two laptops, one color printer, and one black and white laser printer for the Criminal Justice grant.
• Purchased and installed one computer with SMARTboard technology in AB 100 funded through Criminal Justice grant.
• Purchased and installed two computers and one black and white laser printer for the Student Support Services grant. Also purchased and installed two laptops for student use and two laptops for staff use from the grant.
• Purchased and installed a computer and one projector for the computer lab classroom in Academic Support.
• Installed new postal equipment for the self-postage machine in the mailroom.
• Upgraded two computers for the Phoenix to use in the development of the newspaper.
• Installed new computers in classrooms AB 101 and 102, enabling these classrooms to use a data projector for power point assisted lectures.
• Implemented technology and trained professors to use portable distance learning systems for student teachers conducting observation hours.
• Developed and awarded RFP (Request for Purchase) for DLC (Distance Learning Center) equipment at a cost of $300,000 to be installed in 45 high schools across West Virginia. This will enable high school students to participate in classes conducted on campus while in their home high school classrooms.
• Purchased and installed four new computers for the office of Land Resources.
• Purchased new computer system for Academic Affairs Secretary.

The Print Shop office made the following accomplishments:

• Moved to a new location and reorganized supplies.
• Purchased a new color laser printer that has the ability to print 12” X 18”.
• Purchased and installed a high end digitally enhanced Dell computer system.
• Purchased a new wide bed scanner that has the ability to scan images 11”X17”.
• Moved from photographic plate process to a digital plate process. This new process reduces the user’s exposure to chemicals and is more environmental friendly.
• Recalibrated the press and cutter machines.
• Replaced the head of the stapler machine.
• Reinstituted use of damaged or used paper into GSC branded notepads.
• Reformatted business cards at President Barr’s request.
• Fully implemented Public Relations approval system requiring all printing requests to be approved by the office of Public Relations prior to printing.

The following accomplishments were also accomplished during this academic year:

• This was the first full year that the Office of Technology administrated the duties of institutional reporting and housed the print shop.
• Purchased a new DVD stacker machine that has the ability to burn seven cd’s at once.
• Formatted Glenville State catalog on cd, thus significantly cutting the production cost.
• Purchased, programmed, and installed hardware for channel two, otherwise known as the GSC channel. Also, installed new plasma television and cart for conference room Mollohan Center.
• The Lions Club donated speakers which were installed on Main Street in downtown Glenville by the Office of Technology staff during the weekend with donated time at no cost to college.
• Installed new sound system in the President’s house.
• Purchased and installed new phone system in the President’s house.
• Purchased, configured, installed, and tested a new scanning system for the Registrar’s Office. This new machine digitizes the scanning process of existing and new applications, as well as existing and new transcripts.
• Purchased external storage solutions to support scanning system backups for Registrar’s Office.
• Designed new ID card for all Glenville State faculty and staff.
• Hired three new replacement personnel: Todd Faber (Replaced Gary Kight), Annaliza Marks (Replaced Sandra West), and Robin Schimmel (Replaced Dennis Sanders).

Glenville State Technology Offerings

Technology on the Glenville State campus is as varied as its course offerings. With everything from the Land Resources Technology Lab to the Sue Morris Distance Learning Center, we cover a wide spectrum of student, staff and faculty needs. There are over 200 computers in labs throughout the campus. Each of these computers is running the Microsoft Windows XP Professional and Microsoft Office 2003, with the majority having at least 1GB memory and a 2.4 GHz Pentium 4 processor. In addition, Glenville State offers high-speed Internet connections, laser printers, smartboards and data projectors to round out the educational experience. Our campus is also equipped with wireless Internet connections throughout, a brand new 94 seat auditorium with 3000-watt surround sound, multi-function conference rooms with plasma display, and a state of the art cyber cafe with a big screen TV.

Overall, if technology is needed for a course, Glenville State probably has it. We are constantly striving to better the technology on our campus and are always looking to upgrade in order to stay on the cutting edge.
